OPTI + NOVUS · Automation studio · Sofia

A new system for the old work.

Enquiries, orders, quotes, reports: the work someone in your company does by hand every day. We connect the software you already use and let that work run on its own.

20 minutes · no commitment · the plan stays yours even if we don't work together

01 / Before and after

Five inputs. One person in the middle.

Email, Viber, the website form, a PDF price list and a calendar. Everything that arrives, someone reads and retypes by hand, several times a day.

Five inputs. One system in the middle.

The same five inputs, connected. The enquiry gets its reply, the order lands in stock, the quote goes out with current prices. You only get the summary. Whatever it isn't sure about, it stops and asks you.

02 / In practice

Here's what changes on Monday morning.

Not abstract "process optimisation." These are the tasks every service business does by hand, and what they look like once automated.

The task
Until now: by hand
After: on its own
Enquiry at 10pm
Sits until morning. The customer has already asked two others.reply after 10–14 hours
A reply with availability and price goes out instantly, you see a summary.reply in under 1 minute
New order by email
Someone retypes it into the inventory system. Sometimes with the wrong quantity.6–10 min per order
Read, recognised and entered into the system. Anything unclear gets flagged for a check.under 10 seconds
Quote for a customer
Open the old file, swap the prices, check whether they're still current.30–45 min
Fill in three fields, the document comes out ready to sign with current prices.2–3 min
Friday report
Data gets pulled from three places and stitched together in Excel.half a working day
Lands in your inbox Friday morning, already assembled.0 min
Unpaid invoice
You remember it exists when you need the money.whenever you remember
The reminder goes out on day 7 by itself, the second on day 14. You just approve.no input from you
The same question from customers
Answered by hand, twenty times a week, in the same words.3–6 hrs a week
Handled automatically. Anything out of the ordinary reaches you.only the unusual cases remain

03 / Built

Three clients. Three different sites. Zero templates.

Each one is designed for that particular business, from the colours to the layout. That is why they look nothing alike, and that is the point.

The vila-rai.com home page on a computer: cream background, green accents, a photo of the house and a calendar of free dates The same site on a phone

2026 · Palitsi · guesthouse

Guesthouse "Rai"

A house for 16 in the Elena Balkan. Cream, forest green and a serif: the site looks like the place. Enquiries arrive with dates, guest count and phone, straight to the owner.

2026 · Veselina, Razgrad · finishing works

EFE 04

A construction firm with a heavy, honest look: white, solid red and a geometric grotesk. The site went live on efe04.bg and brought a referral for the next project.

2026 · Pavlikeni · beauty salon

Emili's Beauty

A salon that looks expensive: near-black, gold and a high-contrast serif. Services and the appointment enquiry are one tap away on the phone, which is where the clients come from.

04 / What we do

Five things. None of them off the shelf.

Every business is different on the inside: different tools, different exceptions, a different way of working. So we don't sell a ready-made box, we build around your process. That's also why it moves fast: there's nothing to retrofit.

C·01
Process automation
The chain of actions someone runs by hand today starts running on its own, from the moment something arrives to the moment it's finished and logged. For example: enquiry from the site → calendar check → quote by email → reminder after 3 days → logged in the system. How we build it: n8n implementation (BG)
C·02
AI agents
For the work that until now needed a person to read, judge and write. The agent understands free-form text, not just pre-set buttons, and sees the task through to the end. For example: reads orders written differently by every customer and enters them into the inventory system the same way every time. Example: order intake by email (BG)
C·03
Data processing and transfer
When the data exists but sits in the wrong place, in the wrong shape. We pull it out, organise it, clean out duplicates and errors, and move it to where it needs to be. For example: a supplier's price list in PDF every month → compared against the old prices → a file ready to upload to the shop.
C·04
Internal dashboards and tools
One screen that shows the state of the business, instead of seven spreadsheets, each kept a different way, with no one sure which one is current. For example: a dashboard with the day's orders, who's handling them, what's waiting on payment, what's overdue.
C·05
A site that does a job, not just looks good: an enquiry that reaches you with everything at once, visibility in Google, and a link into the same automation on top. Guesthouses, hotels, beauty and health, repairs and installation, small manufacturers. Pricing is on its own page. Pricing and a demo for your property

05 / Money, timing, ownership

One price, quoted upfront. And the system stays yours.

The two questions everyone asks by the second minute of the call. Here are the answers, not after three emails.

Day 0

The call

20 minutes. We walk through your week and find where the hours go and what breaks most often.

Day 1–2

The plan

What will be built, in how many days, and at what price. Written plainly, so you can read it and say no.

Day 3–7

Build and test

We build alongside your running business and run real cases through the system until it comes out clean. You keep working, uninterrupted.

Onward

Running and growing

It goes live without interrupting the business. We stay for support and for whatever comes next as the business grows.

How the price is set

  • The audit is free. 20 minutes, no commitment. You leave with a plan even if we don't work together.
  • Then, one fixed price for the specific job. No hourly rates and no invoices that grow along the way.
  • You know the scope upfront: exactly what will work, in how many days, and at what price, before anything starts.
  • We only propose building something when it pays for itself. If the time saved doesn't cover the price, we'll tell you so on the call.
  • Monthly support is separate and optional. It covers changes and monitoring that everything still works, not a fee to access your own system.

What stays yours

  • Everything is built in your own accounts, with your access and under your name.
  • If we stop working together, the system keeps running. It doesn't stop, doesn't lock, and doesn't expire.
  • You get a description of how it was built, so someone else can take it over if it's ever needed.
  • The data is yours. We never move it anywhere you can't get it back from.
  • No contract with a binding term. We stay because it makes sense, not because something is holding you.

06 / Questions

Honest questions.

Something not clear? Email team@optinovus.net, we reply the same day.

What's the difference between ChatGPT and what you do?

ChatGPT answers a question. We build automation that finishes a task. It reads the inbox, checks the calendar, updates the system and sends the reply, without you opening five programs and without telling it what to do every single time.

How long does it take?

A simple connection between two tools is ready in about two days. Most systems have a first working version within a week. Bigger ones ship in pieces: you get working parts continuously, not one big reveal at the end.

How much does it cost?

Every task is priced after the free audit and quoted as one fixed price. No hourly rates and no extra invoices along the way. We only propose building something when it pays for itself; if the time saved doesn't cover the price, we'll tell you so on the call.

If we stop working together, do I lose the system?

No. Everything is built in accounts under your name, with your own access. If we part ways, the system keeps running and you get a description of how it was built, so someone else can take it over. No lock-in and no binding term.

Is my business too small for this?

It's not a question of size, it's a question of repetition. If the same task gets done several times a week the same way, it's worth it. If every case is different and needs judgement, it probably isn't, and we'll tell you that honestly.

What if automation isn't the answer?

Then we tell you so on the call. The audit shows where the hours are actually going; if the honest answer is a change in how you work rather than software, that's what you'll hear. The plan stays yours either way.

Stop doing it
